We are seeking an exceptional House Manager | Personal Assistant for a family based in Woodside, California. This full-time role will oversee the daily operations of a beautiful, large estate in Woodside as well as a secondary residence in San Francisco. Reporting directly to the female principal, you will be responsible for managing household staff, vendors, and administrative tasks, while ensuring that the home operates smoothly and efficiently. This role offers the chance to develop household systems and contribute to the well-established, positive work culture that has been built over the years.

The family is looking for someone who is detail-oriented, proactive, and a natural leader with experience managing high-level estates. The ideal candidate will be organized, tech-savvy, and comfortable handling everything from event support to vendor management. The Ideal Candidate for the Role:

We are looking for a candidate with senior-level experience in house management who is eager to take on a leadership role. You should be someone who thrives in an organized, structured environment but can also be flexible when needed. You are a natural problem solver, able to anticipate the needs of the household and take initiative to address them before they arise. A positive and approachable personality is key, as this role involves working closely with a small, tight-knit team that values mutual respect and collaboration. 

The ideal candidate will also be tech-savvy, with strong skills in creating and managing spreadsheets, tracking inventories, and using databases for household management. You should be able to handle both the operational side of the home (vendor coordination, maintenance, payroll) and the more personal side (managing social calendars, running errands, and assisting with events). This is a role for someone looking to step up into a more senior position while maintaining a hands-on approach to household management.

Key Responsibilities: 

  • Oversee daily operations of the Woodside estate and San Francisco residence.
  • Work with existing household staff, ensuring tasks are completed efficiently and maintaining a positive team dynamic.
  • Coordinate with vendors and contractors for regular household maintenance (HVAC, alarms, security, generators, etc.).
  • Handle event support, including planning, organizing additional staff, and ensuring seamless service.
  • Manage payroll and household insurance, including annual reviews and updates.
  • Maintain household inventories, creating spreadsheets for tracking and ordering supplies.
  • Oversee family calendars, scheduling appointments, travel, and social events.
  • Implement structure and formality in household systems while preserving the family’s friendly environment.
  • Be flexible with the family’s schedule, adjusting to travel, weekend events, or emergency requests.
  • Maintain a strong and positive work culture within the household.

Qualifications:

  • Proven experience in household management, preferably as a House Manager or Personal Assistant.
  • Strong leadership skills with the ability to foster a positive, collaborative team environment.
  • Highly organized, with excellent problem-solving and multitasking abilities.
  • Tech-savvy, with expertise in spreadsheets, inventory management, and household databases (art, furniture, etc.).
  • Excellent communication skills and the ability to manage vendors and staff efficiently.
  • Flexible and adaptable to the family’s dynamic schedule, including occasional weekend or emergency availability.
  • Experience managing payroll, household insurance, and other administrative duties.
  • Comfortable with both hands-on tasks and managing from a higher-level perspective.
  • Must be local to the Bay Area.
  • Must be willing to undergo a comprehensive background check and reference check process.

Compensation and Benefits:

  • $160,000-$200,000 | Depending on experience
